Privacy Policy

1. Who this policy is for

This policy applies to users of Axario Home, a consumer application for managing household records — property, vehicles, pets, family members, household items, documents, reminders and related information. It is available at home.axario.co.za and related mobile apps (the “Service”), operated by Praxis Marketing Consultancy (Pty) Ltd, trading as Axario (“we”, “us”, “our”). It does not apply to Axario’s separate business/facilities-management product, which is governed by its own privacy policy.

2. What personal data we collect

  • Account information: name, email address, password (hashed), profile details you provide.
  • Household content you add: property details, vehicle records, pet records, family member records, household item inventories, documents, notes and photos you upload.
  • Photos and images: photos of belongings, receipts, rooms or documents, including any submitted for AI-assisted scanning (Section 4).
  • Location-adjacent data: property addresses and, where you provide or confirm them, approximate coordinates, used to look up area-level hazard information (Section 4).
  • Financial references: purchase values, insurance provider names and policy numbers where you choose to record them. We do not store payment card numbers.
  • Calendar data: if you connect Google Calendar, the read/write scopes needed to sync reminders you create.
  • Usage and device data: log data, device/browser type, IP address and similar technical information collected automatically.
  • Household membership data: if you invite others, their name, email and role (Owner / Adult / View-only) to manage shared access.

We do not knowingly collect government identification numbers, payment card numbers or banking details directly — these are handled by our payment processors (Section 4).

3. How we use your data

  • Provide and operate the Service (store and display your household records).
  • Process AI-assisted features you choose to use, such as receipt scanning and photo-based item detection.
  • Provide hazard/risk information for properties you add.
  • Send reminders and notifications you configure, including by email.
  • Process subscription payments and manage your trial/billing status.
  • Maintain security, detect abuse and enforce rate limits on paid or resource-intensive features.
  • Communicate with you about your account, including support requests.
  • Comply with legal obligations.

We do not sell personal data. We do not use your household content to train third-party models beyond what is described in Section 4.

4. Third parties and sub-processors

We share limited data with the following categories of service provider, each acting under their own terms, to operate specific features:

We require our sub-processors to protect data appropriately, but we do not control their independent processing outside the scope described above. A current list of sub-processors is available on request at support@axario.co.za.

5. Legal basis for processing (GDPR / UK GDPR)

If you are located in the European Economic Area or United Kingdom, we process your personal data on the following legal bases:

  • Contract — processing necessary to provide the Service you signed up for.
  • Consent — for optional features you actively enable, such as Google Calendar sync or AI-assisted scanning.
  • Legitimate interests — security, fraud prevention and service improvement, balanced against your rights.
  • Legal obligation — where required by applicable law.

6. POPIA (South Africa)

For users in South Africa, we process personal information in accordance with the Protection of Personal Information Act (POPIA). Under POPIA the head of Praxis Marketing Consultancy (Pty) Ltd acts as the Information Officer for the Service. Information Officer requests, including access, correction and deletion requests, can be sent to support@axario.co.za or by post to 44 Old Kent Drive, Midstream Estate, Midstream, Gauteng, South Africa. You have the rights described in Section 8, consistent with POPIA, and may also complain to the Information Regulator (South Africa).

7. International data transfers

Our infrastructure and some sub-processors may store or process data outside your country of residence, including in the European Union, the United Kingdom and the United States, in the regions used by our hosting, payment, email and AI providers.

Where personal data is transferred out of the EEA, the UK or South Africa, we rely on the safeguards offered by those providers, which include Standard Contractual Clauses (and the UK International Data Transfer Addendum where applicable), transfers to countries covered by an adequacy decision, or the equivalent conditions permitted under section 72 of POPIA. You can request details of the safeguards applying to a specific sub-processor at support@axario.co.za.

8. Your rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data.
  • Export your data in a portable format (available in-app via account settings).
  • Object to or restrict certain processing.
  • Withdraw consent for optional features at any time.
  • Lodge a complaint with your local data protection authority.

9. Data retention

  • Active accounts: we retain your data for as long as your account is active.
  • Trial accounts that don’t convert: when a free trial ends without a subscription, the account becomes read-only for 14 days. During that window you can still view, print and export everything, and the app shows you the exact deletion date. After 14 days the household’s data is permanently deleted.
  • Cancelled/lapsed subscriptions: when a paid subscription ends (cancellation, non-payment after the grace period, or expiry), the account becomes read-only for 30 days. During that window you can still view, print and export everything, and the app shows you the exact deletion date. After 30 days the household’s data is permanently deleted. Resubscribing at any point during the window restores full access.
  • Account deletion requests: processed within 30 days, except where we are required to retain certain data for legal or accounting purposes.
  • AI-scanned photos: receipt and item-detection photos are sent to the AI gateway for processing and are not separately retained by us beyond what you choose to save to your own account.

10. Security

We use reasonable technical and organisational measures to protect your data, including household-scoped access controls, encrypted storage and role-based permissions for shared household accounts. No system is completely secure, and we cannot guarantee absolute security.

11. Children’s privacy

The Service is not directed at children under 16, and we do not knowingly collect personal data from children. Family member records you add for your own children are provided and managed by you, the account holder, as part of your household administration.

12. Changes to this policy

We may update this policy from time to time. We will notify users of material changes via email or in-app notice before they take effect.
